New Functionality
Rethink (Core Package)
New Component - Suggested On-Market/Available Properties Matching an Inquiry/Requirement Record
There is a new component that suggests a collection of properties that are marked "For Sale" in the Listing Status field within the property record and/or its Date Available is equal to or older than today's date. The logic and weight percentages that drive the component are displayed below:
Fields to match in Inquiry/Requirement record | Fields to match in Property record | Field Prioritization Percentage |
Property Class | Property Class | 5% |
Min Purchase Price | Price (total) | 0% |
Max Purchase Price | Price (total) | 25% |
Min Cap Rate | Last Cap Rate (%) | 5% |
Date Space Needed | Date Available | 5% |
Max Rent (Amount) | Rent (monthly) OR Rent (annual) | 20% |
Max Rent (Unit of Measurement) | Rent (SF/Month) OR Rent (SF/Year) | 5% |
Lease Structure | Market Lease Structure | 10% |
Min Square Footage | Available SF | 25% |
Max Square Footage | Available SF | 0% |
Below demonstrates what the component looks like in action and what the different parts illustrate.
The radio button next to the suggested properties allow users to create a new deal for that property (and associate the inquiry to the newly created deal). Or alternatively, associate the inquiry to an existing deal that is tied to this property.
Clicking on Existing Deal will open a module with a deal lookup field; The user can then tie this inquiry to an existing deal. Note: The user will need to know in advance which deal they want to associate the inquiry to in order to proceed.
Clicking on the second option Create New Deal will open a module for the user to create a new deal to associate with the inquiry and selected property.
NOTE: Add the Inquiries/Requirements tab to the navigation bar for easy access to the object.
The "Property Selection" component may also need to be added to any existing inquiry page layouts (Setup > Edit Page > drag/drop "Requirements/Inquiries Match Properties"):
Rethink Search
Ability to Save Tax Data from Rethink Search
The External Data component within the property record allows users to merge new values with the property record. It also includes a button called “Get Debt”.
The “Get Debt” button has been renamed to “Get Financials”:
The user will now be able to save tax information by clicking the “Get Financials” button:
These records will be saved to a related list that has been renamed as “Financials" as shown below.
Tax and Debt records are distinguishable by its name prefix. Both of these record types are housed within the “Financials” related list:
The ability to save tax record information will allow users to report on this information year over year.
NOTE: The "Financials" related list may need to be added to the Properties page layouts (Setup > Object Manager > Page Layouts).
Added Geometric Parcel Boundary Shape to Property Preview Panel in Rethink Search
Rethink Search's property preview panel on the right-hand side will now show the property in focus along with its parcel boundary - example below.
Rethink + Buildout Integration
Standard (Non-admin) Users Now Have Access to Their Associated Properties from Buildout
When a record is synchronized from Buildout to Rethink, the system administrator becomes the record owner by default. This creates an issue for organizations who are utilizing standard profiles since users with standard profiles do not have access to records which they do not own.
We’ve changed the logic in the synchronization so that it also allows the matching broker in Rethink to view the property if they are associated with the listing in Buildout.
This is an option (Setup > Custom Settings > Buildout Settings) that can be enabled during setup as shown below.
Additional Leads Fields Included in Synchronization
When leads are transferred from Buildout to Rethink, the following fields are now included in the synchronization:
Added by
Web Status
Date added
NOTE: The fields Added By (TTL_Core__Added_By__c) and Web Status (TTL_Core__Web_Status__c) may need to be added to the Inquiry page layout (Setup > Object Manager > Inquiry/Requirement > Page Layouts).
ProspectNow Integration
Added “Likely to Sell” Ranking
As part of the Rethink managed package, “likely to sell” rankings are now included in three different locations explained below.
Within the property record:
Within GEOsearch as an option under the “Sort By" menu:
Within Rethink Search in the property preview panel:
Minor Changes/Bug Fixes
Rethink Standard User Profile Now Includes "View All" Permission on Properties and Spaces/Units
The Rethink Standard User profile, by default, will now include 'View All' permissions on both the Property and Space/Unit objects.
Added Send Contact Email Functionality to Deal Pipeline
We’ve designed a simple way for clients to share Associated Party contact information within a deal.
The following fields are included as part of the generated email:
Name
Email
Phone
Role
For this functionality to work, the “Share Deal Contacts” and "Email" buttons will need to be added to all deal layouts. Refer to this short video tutorial for guidance:
GEOsearch - Fixed Special Character Issue Preventing City, State, etc. Searches
Previously, users were encountering a bug where they were unable to search by city. This was caused by the utilization of a special character in the address search field. We’ve patched this issue so that using special characters does not break its search functionality.
Rethink Search - Company Address Now Saved as "Billing Address" Instead of "Shipping Address"
Previously, when a user attempted to save a new company via Rethink Search, it would save the mailing address to the "Shipping Address” field in Rethink. The logic has been changed so that the address is instead saved into “Billing address” [Field Name: “Company Address”] instead of the field labeled “Shipping address”.
Added Spaces/Units Related List to Contacts Layout (TSO Change)
Since most clients work from the Contacts object and not Companies, the Spaces/Units related list has been added to the Contacts layout. Spaces contain lease details and relate to the tenant contact and company.
Portfolio Property “Add Property” Action Now Includes Lookup to Existing Properties (TSO Change)
Previously, in a portfolio property record, there was only an action to create a new property and not select an existing one. We have corrected this action so that it allows the user to add existing properties via the Properties related list.
Added Additional Fields to Comps Automation (TSO Change)
Comps that are automatically created from closed Tenant Rep deals will now include 'Lease Expiration' and 'Lease Commencement' fields. These values will be carried over to the comp from the closed deal (as long as there are values present before the deal is closed).
Companies Now Set to Private on All Default Rethink User Profiles (TSO Change)
Much like contact data, brokers do not want company data to be made public to other brokers within the same organization. For this reason, we have set company records to private by default on all Rethink user profiles. If a user wants to alter this permission, the system administrator can change the setting at the profile level in setup.
Final Note: For clients being upgraded to the newest release, the PostUpgrade Script needs to be run to enable functionality. New clients being rolled out with this version will not need to run this script. There is a PostUpgrade Script button found in Rethink Settings in the App Launcher.
