Rethink<>Showcase (Buildout) Integration Improvements:

Sync Cycles

What is changing?

We’re (partially) transitioning from a scheduled “batch” sync (e.g. hourly syncs) to an instantaneous sync style integration. This will allow property and lead data to sync from Showcase to Rethink in less than a minute. Batch syncing will still be used to sync other types of data such as spaces and comps. However, the intention moving forward is to make all data syncing instantaneous.

Why are we making this change?

Previously, when a listing was created or updated in Showcase, the user would need to wait until the next scheduled sync to occur for the data to be reflected in Rethink. This could sometimes take hours!

The new integration structure provides faster data transfer, ensuring Rethink users have almost real-time updates on properties and leads, improving efficiency and responsiveness.

How does it work?

Our new integration will trigger immediate syncs for property and lead data whenever changes occur in Showcase, drastically reducing the delay between platforms and improving performance load by moving away from (potentially) large batch jobs.

When a listing or lead is created or updated in Showcase, the data flows quickly to Rethink in under a minute.

Ability to Sync Leads to Deal Pipeline

What is changing?

Leads from Showcase can now flow directly into Deal Pipeline records in Rethink, rather than just Property records. This allows brokers to see leads associated with specific deals.

Why are we making this change?

This change enhances visibility and organization for brokers syncing Showcase listings to Deal Pipeline, allowing them to better track leads at the deal level.

How does it work?

Leads can automatically be routed from Showcase to the appropriate Deal Pipeline records in Rethink, giving users immediate access to lead information within their deals.

During setup, the customer will be given the option of having lead data flow directly into Properties or else Deal Pipeline records.

Record Ownership Improvements

What is changing?

We now automatically set the Record Owner for leads, properties, and deal pipeline records to the Primary Broker from the Showcase listing, instead of defaulting to the Rethink system administrator.

Why are we making this change?

This change helps with data privacy by allowing brokers to keep their records private under more restrictive profiles, while also ensuring data accuracy in reporting without requiring brokers to share data with other brokers.

How does it work?

When syncing records from Showcase, the Primary Broker from the listing is automatically assigned as the Record Owner on Property, Deal Pipeline, and Inquiry/Requirement (lead) records, ensuring data privacy and accurate record ownership.

New “Last Modified Date for BO Sync” Field

What is changing?

A new field called “Last Modified Date from BO Sync” has been added to Deal Pipeline and Property objects which tracks the last time a change was made in Buildout to one of the mapped fields.

Why are we making this change?

Previously, any change made to a non-mapped field in Buildout would still trigger an update to the “Last Modified Date” field in Rethink, even if the change wasn’t relevant to the user. This caused unnecessary updates and confusion, as it didn’t provide useful information regarding the fields important to the user.

The “Last Modified Date from BO Sync” field offers Rethink users a clear advantage by providing specific visibility into changes that occurred through the Showcase integration. This allows users to quickly identify and track updates made to critical mapped fields, ensuring they focus on relevant changes without getting overwhelmed by minor or unrelated modifications.

This field is not meant to replace the default “Last Modified Date” as this default Salesforce field is still relevant. It’s just meant to serve as a supplement to the existing field.

How does it work?

The new field will automatically update whenever a change is made to one of the standard mapped fields.

When will this be released?

These features are included in the 3.27.1 release which is available immediately for new customers who are onboarded after October 23, 2024.

Existing customers who are using the integration will need to be gradually migrated to the new version. If you are a current Showcase integration user and would like to be migrated to the new version, please have your system administrator reach out to support at rethinkcrm@buildout.com.
