Chatter is a built-in, real-time collaboration tool that helps brokers communicate and share updates across the organization. Similar to tools like Slack, Chatter makes it easy to connect with teammates, stay engaged, and work more efficiently on things like prospects, deals, listings, and other key records.
Chatter’s powerful search makes it easy to find files, people, groups, and activity across your org. Over time, it becomes a searchable knowledge base—your company’s living memory—accessible anytime, from anywhere, and across teams, roles, and office locations.
Chatter Profiles
Every user in your organization has a Chatter profile they can personalize with a photo, contact details, and a short bio. By default, the profile page starts as a blank canvas—encourage your team to make it their own. Adding a clear, professional photo and a few personal details helps colleagues recognize one another, build connections, and collaborate more effectively across teams.
Following Records
Following is one of the most useful communication tools in Chatter. You can follow people, topics, files, as well as Property, Contact, and Deal Pipeline records.
When you follow people, you can see their posts, comments, and likes in your What I Follow feed. When you follow different objects and records, you are notified when they change. You can follow a maximum combined total of 500 people, topics, and records.
Once Chatter is enabled, certain following relationships are put in place automatically. For example, if your company has less than 16 Chatter users, then all users will automatically follow each other and up to 25 most recently used records. If your company has 16 users or more, they will automatically follow up to 25 of their most recently used records and 25 users. This is controlled by the Enable Auto-Follow setting in Setup > Chatter Settings.
Chatter Feeds
When users follow people and records, they will see posts, comments, and updates pertaining to those in their Chatter feeds. Chatter feeds appear on profile and group pages, the Home tab, topic pages, and record pages. Typically, users will see feed updates for:
Posts, comments, and files on Chatter groups (members)
Shared files and links
Tasks and events
Record field changes (see Feed Tracking Setup)
Feed Tracking Setup
To set up Feed Tracking after enabling Chatter, go to Setup > Feed Tracking, and select the object you want to start tracking in the left pane:
You can select up to 20 fields per object to track—when those fields change, updates will appear in the record’s Chatter feed. Be sure to click Save once you’ve selected the fields you want. This helps keep your team informed of key updates directly in the activity feed.
Additionally, you may enable the option to display feed activity for any related records:
For example, you could enable “All Related Objects” on Property so that Chatter activity from related Spaces/Units, Deals, Contacts, etc. appears in the Property feed. Some things to consider before enabling:
It can clutter the feed quickly if lots of child records are active
It does not automatically enable feed tracking on the related objects — those must still be configured separately
It’s read-only from the parent feed — you can’t comment directly on those related posts

Chatter Administrative Settings
System Administrators are the only users who can set, edit and modify Chatter settings for your organization. To access Chatter settings, simply click on the gear icon and search “Chatter Settings” in the quick find box.
Chatter Email Notifications
Users can manage their Chatter email notifications in their personal profile settings to control how often they’re notified about activity. To adjust these settings, click your avatar in the top right corner, select Settings, then go to Chatter > Email Notifications.
From there, you can choose to receive emails for things like new posts, comments, mentions, and weekly digests. You can also turn notifications on or off for individual groups you belong to. These preferences help ensure you’re staying informed without overwhelming your inbox.
Click on the My Feeds area and enable the option to automatically follow records you create.

Use Chatter on Deal records to:
• Tag teammates for quick updates (@leasingteam)
• Discuss terms or negotiation points
• Log internal notes during due diligence or LOI stages
Example: “@Lisa Can you confirm if the buyer received the updated OM for 455 Main?”
Property-Level Discussion Threads
Use Chatter on Property records to:
• Log tenant updates
• Flag maintenance issues or listing status changes
• Coordinate with marketing or research teams

Pin Important Files and Notes
Upload brochures, flyers, signed leases, or LOIs directly to the Chatter feed on a record.
Pin the latest marketing deck to the top of a listing record for quick reference.
Use Case: A shared marketing package lives on the Property record for all brokers to access.
Instant Notifications on Key Events
Follow high-value records (Deals, Properties, Contacts).
Get alerts when:
• A deal moves to a new stage
• A comp is added to a target property
• Someone logs a note or call with a client
Use Case: A junior broker logs a client interaction — the senior broker gets alerted and can chime in with feedback.
Internal CRM Notes Without Formal Tasks
Brokers can use Chatter like a lightweight note log.
It’s searchable, time-stamped, and avoids cluttering Activities.
Example: “Met client at ICSC — interested in industrial options in west Houston. Will follow up next week.”
Cross-Team Lead Coordination
Tag research or admin users to:
• Pull ownership info
• Update zoning details
• Confirm lease abstract data
Example: “@Research Can you confirm the land use for this parcel? Zoning lookup is conflicting.”
Track Broker Engagement for Leadership
Sales managers can follow Chatter on active deals to:
• Coach junior brokers
• Monitor deal momentum
• Provide support in high-stakes deals
Use Case: Leadership follows top 5 deals in pipeline and drops in when needed.
