How to Convert an Inquiry

The Convert feature makes it way easier for brokers to move a prospect forward without starting from scratch. With just a few clicks, you can turn an inquiry into a true contact, company and/or deal that’s already linked and ready to go.

Best part? No more re-entering the same info — the system fills in the gaps and helps you smoothly transition from prospecting to pipeline.

For example:

  • A property owner you’ve been nurturing who’s now ready to sell can be converted into a full contact and added to your pipeline as a new deal.

  • A listing inquiry from a buyer or tenant can be converted into a full contact and linked to an existing Seller Rep or Landlord Rep deal as the lead progresses toward a potential transaction.

Key details like who converted the record and when are captured automatically for easy reference and reporting. Plus, the original prospect record is enriched with links to the new contact, company, and deal records, giving users a complete, connected view without having to dig through separate records.

Converting an Inquiry

Before getting started, make sure the following items have been added to your Inquiry/Requirement page layouts:

  • Convert button (under Mobile & Lightning Actions)

  • Converted Prospect field

  • Converted By field

  • Converted Date field

If these aren’t visible on the page, please ask your system admin to add them using these steps.

Here are written instructions, but feel free to skip ahead to the video below!

1. Open an Inquiry/Requirement record.

2. Click the Convert button.

3. Follow the prompts to link or create new records for:

  • Company

  • Contact

  • Deal (optional)

4. Once conversion is complete, the Inquiry will be updated automatically:

  • Converted Prospect will be checked ✅

  • Converted By and Converted Date will be populated

  • The inquiry will be backfilled with the newly-created or linked records

Wondering what fields are mapped?

Company

If you create a new contact, the following fields will carry over:

  • Company Name

Contact

If you create a new contact, the following fields will carry over:

  • Contact - First Name

  • Contact - Last Name

  • Company Name

  • Email

  • Phone

  • Cell Phone

Otherwise, if you link to an existing contact, the contact’s company will be updated to match the company selected in the previous step.

Deal

If you create a new deal, the following fields will carry over:

  • Deal Name = “deal type - property name” or else “deal type - record ID”

  • Property

  • Record Owner (Lead Broker)

  • Client Contact (from previous step)

  • Client Company (from previous step)

Otherwise, if you link to an existing deal, Rethink will update the correct contact and company fields on the deal, based on the deal type.

For Admins: How to Enable the “Convert” Functionality

To enable the Convert feature on Inquiries/Requirements:

  1. Go to Setup > Object Manager

  2. Find and click on Inquiry/Requirement

  3. Select Page Layouts

  4. Choose the layout you want to edit

  5. In the Mobile and Lightning Experience Actions area, find the “Convert” button, then drag it onto the Salesforce Mobile and Lightning Experience Actions section where the other buttons are.

  6. In the Fields area, drag and drop the fields circled below onto the layout.

  7. Click Save
