Property Duplicate Detection & Merge

Updated over 2 weeks ago

We’ve introduced automatic property duplicate detection directly within Rethink to help keep your database clean and accurate.

When you open a Property record, Rethink will automatically check for potential duplicates and surface them in the Property Duplicates panel.

No manual search required.

Why This Matters

  • Prevents duplicate properties

  • Protects deal and inquiry data

  • Reduces reporting inconsistencies

  • Keeps your CRM clean without manual detective work

How to Enable

Admins can enable this feature by opening a property record (any property), then clicking Setup > Edit Page in the upper right corner of the screen.

Drag and drop the “DuplicatePropertiesMerger” component onto the page layout, then click Save.

How It Works

Rethink compares properties that do not have a Buildout ID using:

  • Exact street number match

  • Similar street name

  • Similar city

  • Similar zip code

For best results, make sure Street #, Street Name, City, and Zip Code are populated. Blank address fields may cause unintended matches.

What You’ll See

If no duplicates are found:

You’ll see: “No potential duplicates found.”

If duplicates are found:

You’ll see a “Merge” button and can:

  • Compare up to three properties at once

  • Select which property should remain as the master record

  • Choose field values to keep

By default, the property you are currently viewing is selected as the master record.

What Happens During a Merge?

When records are merged:

  • The master property remains

  • The other property records are moved to the Recycle Bin for 15 days, before they're permanently deleted

  • All related records are automatically moved to the master

This includes:

  • Spaces/Units

  • Deals

  • Prospects

  • Activities

  • Offers

  • Site Selections

  • Associated Parties

  • Comps

  • Files

  • Assets

Your data stays intact and connected.

Customizing the Merge View

Admins can control which fields appear in the merge comparison screen by navigating to:

Setup → Custom Settings → Property Merge Fields
