Rethink+ User Guide

A step-by-step guide to using Rethink+ for optimal property research and prospecting.

What is Rethink+?

Rethink+ brings trusted property and ownership intelligence directly into Rethink CRM — so you can search, save, and act on that data without ever leaving your CRM.

Whether you're toggling between multiple data sources or manually importing property and comp details from spreadsheets, Rethink+ eliminates all of that friction. Now, your entire prospecting workflow lives in one place.


Prospecting in the Rethink+ Search Tab

To get started, head to the Rethink+ Search tab.

From there, you can:

  • Search for properties by criteria like geography, property type, square footage, lot size, number of units, and much more

  • Look up property owners and their associated properties across the country

  • Filter results using smart indicators like Likely to Sell or Likely to Refi

  • View properties in either a map or list format

  • Select properties to save to Rethink, individually or in bulk

  • Unlock and save owner contact details, including phone numbers and emails (uses 1 owner unlock credit per property)

  • Add properties directly to lists in the CRM for follow-up and outreach

Example: Filtering for industrial properties over 5,000 SF in Austin, TX, flagged as Likely to Sell.


Saving Properties & Owners

You can save records from Rethink+ Search in a few ways:

Single Property Save

  • Choose to save just the property, or the property plus associated owner contacts.

  • Up to 10 owners per property will be saved to Rethink.

    • Note this only consumes a single owner unlock credit per property, regardless of how many owner contacts are available / saved

  • Saved owners appear on the property under the “Prospects” tab as Possible Owners.

To save an individual property

In the property details pane, click "Add as Property".

A pop-up window will appear. To include owner contact data, check the box to unlock and save owners (up to 10 per property).

Important note: This will expend an owner unlock credit unless you have previously unlocked the owner for this property. If no owner data is available, a credit will not be consumed. No credit is consumed for property-only saves.

A confirmation message will appear once the data has been successfully saved.

To add an individual property to a list:

You can also save an individual property while also adding it to a list by clicking the "Add to List" button.

Choose an existing list or create a new one, then choose whether or not to unlock and include owner contact data (up to 10 owners per property will be saved).

Alternatively, these shortcut buttons let you complete the same actions more quickly:

Bulk Property Save

  • Select multiple properties and save them all at once.

  • You can also choose to include owners (still capped at 10 per property).

  • Saved properties will be added to a new list, available in your List widget.

  • Up to 1,000 records can be saved in a single batch — so even if you select more, only 1,000 will be saved at a time.

  • A longer loading bar may appear when saving large batches — that’s normal!

  • For bulk saves, get notified by email when your list is ready.

To save properties in bulk

Once you’ve narrowed down your search, choose the properties you’d like to save (or click “Select All” to include the entire filtered list), then hit “Add to List.”

To add to an existing list:

To add properties to an existing list, search for and select the desired list, optionally unlock owner contact data, then click “Add to List.”

Depending on the number of records, it may take some time to complete. We recommend entering your email address to receive a notification once the list is ready.

To create a new list:

To add the properties to a new list, click “Create List”, optionally unlock owner contact data, then click “Add to List.”

What Data is Saved?

The following property and owner contact data is saved from Rethink+ Search. This ensures key details are captured and easily accessible for prospecting, follow-up, and ongoing relationship management.

Fields captured from Rethink+ Search

The following owner contact fields are saved:

  • Record Type = Property Owner

  • Contact - First Name

  • Contact - Last Name

  • Email

  • Cell Phone

  • Phone

  • Property

The following property fields are saved:

  • Record Type

  • Property Type

  • Property Subtype

  • County

  • Address

  • City

  • State

  • Postal/Zip Code

  • Location (Latitude/Longitude)

  • Year Built

  • Zoning

  • Building Size (SF)

  • Number of Units

  • Property Class

  • Parcel Number (APN)

  • Last Sale Date

  • Last Sale Price (Total)

  • Price (per Unit)

  • Occupancy Type

  • Access Frontage

  • Land Depth (Ft)

  • Land Size (Acres)

  • Land Use

  • Exterior Finish

  • # of Bathrooms

  • # of Bedrooms

Currently, Rethink+ saves basic property and owner details. Property images from Google Maps are not carried over, and custom field mapping is not supported.

What Happens if the Property Already Exists in the CRM?

If a matching property is found and falls within our matching threshold (for example, recognizing “St” and “Street” as the same, but not confusing “St” with “Ave”), the property itself will not be updated in Rethink. Instead, any associated owner contacts will be attached to the existing property (if unlocked).

If the property match is outside the threshold, we’ll take no action — meaning no new property is created in Rethink and no contacts are attached.


From Prospecting to Outreach

Once properties and owners are saved:

  • A timestamp will display in the property preview pane showing when they were saved to Rethink.

  • Access property lists in the List widget, or access individual properties directly in the Properties tab.

  • Saved owners appear on the property under the "Prospects" tab as Possible Owners.

  • Launch lists via the Prospecting Console or directly from the List widget — both options work depending on your preference.

Best Practices for Logging Activities

To keep your prospecting organized and effective, log activities on the prospect record, not the property.

Why?

  • The prospect represents the actual person you’re reaching out to.

  • This helps you track call history, emails, and follow-ups on a per-lead basis.

  • You’ll keep your CRM cleaner and make it easier to qualify or disqualify owners as you go.


From Outreach to Client

Once you’ve qualified a prospect — confirming they’re the property owner or decision-maker — you can easily convert them into full CRM records using the Convert feature. This action allows you to seamlessly generate a company, contact, and deal (optional) from the prospect data.

Using the Convert feature ensures you’re only adding qualified leads to your CRM, keeping your data clean and reducing clutter from unresponsive or irrelevant prospects.

Here’s how:

  1. Open the prospect record

  2. Click “Convert”

  3. Follow the prompts

The prospect record will be marked as converted, and stamped with the conversion date and the user who completed the action. The prospect record will also include links to the newly created contact, company, and deal records, ensuring everything stays connected across stages and making it easy to follow the full progression from prospect to client.

Once the prospect has been converted into a full contact in the CRM, the next step is to update the property record and link them as the property owner.

  2. On the right, under Property Owner Contact Details, select the contact


How Rethink+ Handles Duplicate Properties

Rethink+ is designed to be smart about duplicates, helping you avoid creating unnecessary copies of properties already in your CRM. Here’s how it works:

Fuzzy Address Matching: If you’ve already added a property manually in Rethink, the system will try to detect duplicates using fuzzy logic (e.g., recognizing “123 Main St” and “123 Main Street” as the same address).

  • If a match is found, Rethink+ will not overwrite any existing property data, but it will attach any new contacts (prospects) to that existing property when applicable.

  • If the system isn’t confident it’s a match, you’ll see an error message so you can review it manually.

Behind-the-Scenes Matching: When a property is saved from Rethink+, the system assigns it a unique internal identifier. This helps Rethink+ quietly recognize if the same property already exists in your CRM. If a match is found, Rethink+ will avoid creating a duplicate and won’t update the existing property details—though any new contacts (prospects) will still be added to that record when applicable.

This setup ensures your existing data stays intact while still allowing you to enrich records with new ownership insights—without the risk of cluttering your system with duplicate entries.


What About Existing Properties?

Already have a property you manually added? Great—Rethink+ can help you keep it up-to-date and more complete than ever.

If you’re viewing an existing property in the CRM and want to pull in the latest available data (like updated building specs, tax history, or mortgage activity), you don’t need to start from scratch. Instead, use the External Data panel found on the property record page:

1. Click Search to check for available external data tied to the address.

2. If results are found, click Merge to compare values side-by-side.

3. You’ll be guided through a field-by-field selection screen, allowing you to choose which data to keep or update.

4. Once you confirm the merge, selected values will be added to your record.

You can’t undo this step, so double-check your selections.

5. To capture financials like tax records or mortgage details, click Get Financials, then choose Create Tax or Create Debt to save them as records under the Financials related list on the property.

This gives you the best of both worlds—your original property record stays intact, and you gain the most up-to-date data in just a few clicks.


Tips to Get the Most from Rethink+

  • Target your search by taking advantage of powerful filters like likelihood to sell, last transaction price/date, loan maturity, etc.

  • Keep lists small and name them clearly so you can revisit for outreach.

  • Keep an eye on your owner unlock credits (remember, credits are pooled across team accounts).

  • Reach out to your admin or support if you need help configuring layouts or access.
