Creating Call Lists for Prospecting

Create targeted call lists to help you with your prospecting efforts. In a previous article, we learned how to use GEOsearch functionality to narrow down the audience. Now, we will learn how to create call lists and use them effectively.

Call lists can be created from within GEOsearch and in Contacts, Companies, Properties, and Spaces/Units list views. Refer to section "Building Call Lists in a List View" below to find out more.

Building Call Lists in GEOsearch

GEOsearch provides functionality to build targeted lists of data to simplify your prospecting efforts. For example, build a list of property owners in a specific zip code; or tenants with lease expirations approaching; or sellers you need to follow up with; or contacts you haven't connected with in a while.

The short video clip below will step you through the entire process of creating a list of property owners by city. Follow along with the video, or continue with the step by step instructions below.

1. Adjust Your View in the Search Results Panel

In this example, we represent Tenants and want to search for prospects in our database for contacts whose leases are expiring in the next 1-2 years. Once we create our filters by Lease Expiration Date, we will select to (1) View by (2) Tenant Contacts:

2. Add Prospects to Your Call List

Click on Select All (#*), then click the + icon to add the contacts to a list.
The number shown in parenthesis indicates how many results you have that meet your filter criteria. The max number of results that can be displayed is 500.

Building Call Lists in a List View

In addition to using GEOsearch, you have the ability to create call lists from within the Contacts, Companies, Properties, and Spaces/Units list views.

To create a call list from one of these objects, go to the list view, filter your list as desired and click the 'Select All' checkbox to select the members you want to include, then click 'Add to List'.

You can also assign a call list you create to another user. See section 'Managing Call Lists' below.

Using Call Lists

Start your prospecting by opening the Lists widget by clicking on Lists in the lower-left corner of Rethink:

Click on a list to begin prospecting.

You will find multiple options such as Archive List, Add Action Plan, New Task, or Remove from List. These actions can be mass applied by checking the boxes next to the contacts.

When you're ready to begin calling, check the 'Select All' checkbox and press the play button. You will then be taken to the contact page of the first individual on your list. By clicking Next you will move down your call list one by one.

When taken to the contact record, make any necessary updates to the record, then log your call or follow-up task in the activity panel.

There are some limitations with using lists.

Sort order - List sort order is hard-coded into the platform and can't be changed. Lists are sorted as follows: records with overdue activity are on top, followed by records with upcoming activity due, then lastly the remainder of records are sorted by unique Record ID.

Saving progress - Although there is no way to "save" your progress or bookmark where you left off at in a list, there is a "skip to" option. If you note which record you left off at during your prospecting, you can pick right up again by inputting the number and skipping directly to that record.

Customizing Fields Displayed in the List Widget

To customize the fields that are displayed in the List widget (shown below) for various types of records, follow the steps below:

  • Go into Setup > Custom Metadata Types

  • Click 'Manage Records' next to List Display Fields

  • Click 'New' to add new values (you'll need the API Field Names)

  • After adding the new values, refresh your browser to see the changes

Managing Your Lists

To manage your existing call lists, go to the Lists tab in your navigation bar.

If the Lists tab is not available in your navigation bar, your Rethink administrator may need to change the tab visibility settings in your user profile by going into Setup > Users > Profiles > click Edit next to the profile > set Lists to 'Default On' under Custom Tab Settings > click Save.

You can assign a call list to a colleague by updating the Owner field shown below.

Adding Contacts to an Existing List

To add on to an existing list, go into the list view in question and select the members you want to add, then click the 'Add to List' button. Choose an existing list from the drop-down, then click save.
