Building Prospecting Lists

Call lists in Rethink help brokers stay focused, organized, and consistent when prospecting. Lists can be used to group contacts, prospects, companies, or properties—and now include additional tools to make daily outreach even more effective.

This article walks through how to build top-notch lists and leverage list membership across the CRM.

When to Use Lists

Lists are ideal for:

  • Daily prospecting sessions

  • Market- or asset-specific outreach

  • Campaign-based calling

  • Follow-up tracking

  • Mass emailing and segmentation

  • Feeding automation like Action Plans

With sorting and list membership visibility, lists now support both day-to-day execution and longer-term CRM strategy.

Note: To create call lists from a specific object, the “Allow Activities” setting must be enabled on that object. This is turned on by default.

Creating a Call List

You can create a list from several places in Rethink, including list views, GEOsearch, or Rethink+ Search.

Building a Call List from a List View

You can create call lists directly from standard list views across Contacts, Companies, Properties, Spaces/Units, and Inquiries/Requirements.

To create or update an existing a call list:

  1. Navigate to the relevant object’s list view.

  2. Apply filters to narrow down the records you want to include.

  3. Use the Select All checkbox to choose your desired records.

    • You can select up to 200 records at a time, so this step may need to be repeated.

  4. Click Add to List and save the records to a new or existing call list.

You can also assign a call list to another user if needed. For more details, see the Managing Your Lists section below.

Building a Call List in GEOsearch

GEOsearch makes it easy to build targeted call lists to support your prospecting efforts. You can quickly create lists like:

  • Property owners in a specific zip code

  • Tenants with upcoming lease expirations

  • Sellers you need to re-engage

  • Contacts you haven’t connected with recently

1. Adjust Your View in the Search Results Panel

In this example, we’re representing tenants and want to identify contacts in our database with leases expiring in the next 1–2 years. After applying filters based on Lease Expiration Date, update your view by selecting:

View > Tenant Contacts

This switches your results from properties to the people you actually want to call, so you can build a call list from the right record type.

2. Add Prospects to Your Call List

Click Select All (#) to highlight all matching results, then click the ➕ (plus icon) to add them to a call list. The number in parentheses reflects how many records meet your filter criteria.

Note: A maximum of 500 results can be displayed at once. If your results exceed 500, you may need to tighten your filters (or build the list in batches).

Begin Your Outreach

To begin prospecting, launch the Lists widget in the lower-left corner, then click on a list.

To start calling through a list, click the Play button.

You’ll be taken to the first record in the list. Review the record, make any necessary updates, and log your call or follow-up activity in the activity panel.

When you’re ready, click Next to move to the next contact and continue working through the list in order.

Rethink does not automatically save your place in a list. If needed, you can note the record number where you left off and use the Skip To function to quickly jump back to that spot the next time you return to the list.

Use the list's drop-down menu for the following actions. These actions can be applied in bulk by selecting multiple records at once.

  • Archive List

    • Safely removes the list from the widget's view without actually deleting it.

  • Add Action Plan

    • Apply an Action Plan to multiple records at once.

  • New Task

    • Create a task on multiple records at once.

  • Remove From List

    • Remove a list member from the list.

  • Name (A–Z)

    • Standard alphanumeric sorting by record name.

  • Last Activity (Oldest)

    • Shows records with the oldest activity first.

    • Helpful for identifying cold records or contacts that haven’t been touched recently.

    • Records without activity are sorted alphabetically.

  • Next Activity (Earliest)

    • Shows overdue tasks first, followed by the soonest upcoming tasks.

    • Ideal for working through follow-ups in the right order.

    • Records without upcoming activity are sorted alphabetically.

List Membership on Contact Records

Whenever a contact is added to a list, the list name is automatically written to the contact’s List Membership field.

  • Contacts can belong to multiple lists

  • All associated list names are displayed directly on the contact record

  • The field stays in sync as contacts are added to or removed from lists

This makes lists useful beyond prospecting and unlocks more powerful workflows across Rethink.

Filtering Contacts by List Membership

Because list membership is stored on the contact record, users can now:

  • Filter contact list views by list name

  • Build reports based on list membership

  • Use Salesforce’s native List Email tool with list-based targeting

  • Improve integrations with tools like MailChimp or dialers

No changes are required to your existing workflow—list membership updates automatically behind the scenes.

  • Picklist value activation: The List Membership field uses picklist values. Due to Salesforce limitations, new values may occasionally need to be activated by a system admin in Object Manager. Admins should periodically review and enable any new values as needed.

  • Value limits: The List Membership field supports up to 1,000 active values. If your org approaches this limit, we recommend archiving or deleting unused lists. Keeping lists trimmed not only avoids limits, but also results in a cleaner, more manageable prospecting workflow.

Customizing Fields Displayed in the List Widget

You can customize which fields appear in the List widget for different record types to better support your workflow.

To update the fields shown in the List widget:

  1. Go to Setup and open Custom Metadata Types.

  2. Click Manage Records next to List Display Fields.

  3. Click New to add additional fields (you’ll need the API field names).

  4. Save your changes, then refresh your browser to see the updates take effect.

This allows you to tailor the List widget to show the information that matters most for your prospecting and outreach.

Managing Your Lists

To view and manage your existing call lists, click the Lists tab in your navigation bar. From there, you can open, edit, assign, archive, or delete lists as needed.

Note: If you don’t see the Lists tab, your Rethink administrator may need to enable it using the following steps.

To enable the Lists tab:

  1. Go to Setup

  2. Navigate to Users > Profiles

  3. Click Edit next to the appropriate profile

  4. Under Custom Tab Settings, find Lists and set it to Default On

  5. Click Save

Once enabled, the Lists tab will be visible in your navigation bar.

Assigning Lists

You can assign a call list to another user by updating the Owner field on the list record. Simply open the list and change the Owner as needed.
