Rethink Alerts: Stay on Top of Important Dates Automatically

Rethink Alerts help you stay aware of important, date-driven moments in your business—without relying on memory, spreadsheets, or manual tracking.

Instead of creating more tasks to manage, Alerts send timely email notifications so you always know when something needs your attention.

What Are Rethink Alerts?

Rethink Alerts are automated email notifications triggered by key date fields on records like Contacts and Deal Pipeline.

They allow you to:

  • Set reminders based on specific date fields

  • Trigger alerts before or after a date

  • Send notifications to specific users or record owners

  • Apply alerts to your records or across your entire team

  • Customize messages using email templates

Common Use Cases

Rethink Alerts are ideal for tracking time-sensitive moments like:

  • Lease expirations

  • Option periods

  • Listing expiration dates

  • Client birthdays

  • Stale deals (e.g., no recent activity)

These are scenarios where a task may not be needed—but timely awareness is critical.

Before You Get Started

The following one-time setup step must be completed by a System Admin:

  • Go to Setup → Organization-Wide Addresses and create a new default “From” email address. Make sure the email is verified.

The following steps can be completed by any user as long as they have the "Manage Public Classic Email Templates" and "View Setup and Configuration" permissions.

  • Go to Setup → Classic Email Templates and create a new folder called Rethink Alerts. Only templates stored in this folder will appear in the Alerts setup.

  • Create your email templates. Use merge fields where possible to personalize the messages.

How to Create a Rethink Alert

  1. Navigate to App Launcher → Rethink Settings → Rethink Alerts.

    1. This requires the Rethink Advanced Features permission set, which is typically assigned to System Admins but can also be granted to other users at their discretion.

  2. Click Settings to select your default “From” email address (from the first section above) and set the daily run time. Emails are typically delivered within one hour after the scheduled run time.

  3. Click New to create a new alert.

  4. Choose which record owners the alert applies to:

    • Select All Users to evaluate all records in the system

    • Select Specific User(s) to limit the alert to records owned by selected users

  5. Select who should receive the alert.

  6. Select the object (e.g., Deal Pipeline, Contact), record type, and relevant date field.

  7. Define when the alert should trigger (before or after the selected date).

  8. Select an email template from the Rethink Alerts folder. To create additional email templates, refer to the video above. Be sure to save the templates to the Rethink Alerts folder.

  9. Click Save to activate the alert.
