Build Your Prospect Universe

Updated over 2 weeks ago

Your prospect universe is the foundation of your pipeline. Before you can call owners, track activity, or move deals forward, you need a clean set of properties and owners saved in Rethink that represent the market you want to work.

There are several ways to build this universe depending on where your data is coming from.

Save Properties & Owners Using Rethink+ Search

If you’re starting from scratch or exploring a market, Rethink+ Search is the fastest way to begin building your universe. Rethink+ Search is available with a Rethink+ license.

How it works:

Search for properties that match your target criteria, then save the properties and owners directly into Rethink.

  1. Open Rethink+ Search

  2. Enter filters such as market, property type, size, or ownership criteria

  3. Save the property and owner data to the CRM

This automatically creates property and owner records in your CRM so you can begin prospecting.

Best for:

  • Expanding coverage in a specific market

  • Identifying new ownership targets

  • Building prospect lists quickly

Import Property & Owner Data

If you already have a list of target properties or owners (from research, spreadsheets, or another system), you can import the data directly into Rethink.

How it works:

Upload a spreadsheet containing property and/or ownership data and map the fields into Rethink.

  1. Prepare your spreadsheet (properties, owners, contact info)

  2. Use the Data Import tool or work with your admin to upload the file

  3. Map spreadsheet columns to Rethink fields

  4. Run the import to create property and owner records

Best for:

  • Migrating research lists

  • Adding large sets of prospects at once

Create Records Manually

For one-off opportunities or referrals, you can always create records manually.

How it works:

Create a new property or owner record directly in Rethink and begin tracking activity immediately.

  1. Click New Property or New Contact/Company/Prospect

  2. Enter basic property and ownership information

  3. Save the record

Best for:

  • New leads discovered during calls or meetings

  • Off-market opportunities

  • Quick additions to your prospect list

Once these records exist in Rethink, you can easily organize them into prospecting lists.
