Set Up In-App Guidance for User Onboarding & Announcements

Drive and increase user engagement with In-App Guidance. In-App Guidance is a platform tool that allows admins to create and customize prompts to train and onboard users where and when they need help.

In-App Guidance gives admins the ability to add and edit prompts declaratively and detects how users interact with prompts to determine whether to show the prompt again or stop showing it after the user has completed the desired action.

These are the top use cases for in-app guidance:

  • Train users: Provide a link to training about a feature right on the page where the feature shows up.

  • Onboard new users: Provide tips and tricks to familiarize new users with top used features in the app.

  • Highlight changes: Alert specific groups of users (based on permissions) of policy changes that may affect them.

  • Make announcements: Make universal announcements to everyone.

To get started, go to Setup > In-App Guidance.

Enable Display and Test Settings.

Click Add Prompt.

A window appears. Click Open Authoring Bar.

Navigate to the app and page where you want to add the prompt. The authoring bar stays open while you navigate. The authoring bar shows information about your page location, other prompts on the page, and your next step.

Note: You can place prompts on object record pages and object home pages (including Home). The Add Prompt button in the prompt authoring bar is disabled when you can’t add a prompt to the page.

Type: There are two types of prompts available: a floating prompt that appears in a location that you set, or a docked prompt that stays in the bottom right corner of a page. In-App Guidance detects how users interact with prompts to determine whether to show the prompt again or stop showing it after the user has completed the desired action.

You can add up to 500 prompts per org and you can add multiple prompts to the same page, but the prompts don’t appear at the same time. A user sees only one prompt per 24 hours, per app. Based on whether the user interacts with or ignores the prompt, Rethink shows the prompt again or cancels scheduled recurrences.

Position: Specify where the prompt appears on the page. Users can’t move the prompt.

Permissions: Choose if everyone or just those with specific user permissions see the prompt.

Content: Write the content for your prompt.

Schedule: Choose a date range for the prompt to appear. Then, decide if the prompt should appear once or repeat.

Details: Name your prompt and add an identifying description. This content doesn't appear to users.

Click Save and Preview.

To confirm that the prompt looks correct, preview it. If you want to make changes, click Edit in the authoring bar. When you’re satisfied with your prompt, click Done.

To view the prompt as a specific user, on the In-App Guidance Setup page, click Start Testing. Log in as a specific user, and navigate to the page where the prompt appears. While testing, Rethink removes the Schedule settings and delays between prompts and doesn’t log prompt interactions.

To stop showing users prompts that you’ve created or installed in your org, turn off Custom Org Prompts. To stop showing users all Lightning Experience in-app guidance, turn off Salesforce Prompts.
