Overview
This article discusses Global Actions which encompass various types of activities to help you stay on track with your day-to-day activities. Some of these actions include:
Logging calls
Creating tasks
Adding notes
Scheduling events
Composing emails
...and more!
Think of Global Actions as activity shortcuts. They offer a fast way for users to launch a specific action - such as scheduling events, logging calls, and creating tasks. In this article, we'll review how to customize your Global Actions to better suit your workflow.
Other features of Global Actions include:
The ability to create custom actions tailored to your business processes and use cases.
Creating unique page layouts for each action so you can limit the fields to ones your users really need.
Accessing the Global Actions Menu
The Global Actions menu can be accessed by clicking the [+] icon in the upper-right corner:
This menu is static, meaning it's available regardless of what page you're on.
One major benefit to this is you can jot down a note, compose an email, or log a call without disrupting what you're currently working on.
Creating Custom Global Actions
Follow the steps below to create a custom Global Action. In this example, we'll be demonstrating how to create an action for creating a new contact record on-the-fly.
Go to Setup > Global Actions.
โ
Click the New Action button.
Select the type of action you want to create, then complete the fields. Required fields are notated in red.
After saving your action, you'll get the chance to customize the fields which will be presented when the user selects the action.
For my example, we'll be adding the contact's assistant name and property type that the contact is interested in. The fields available will depend on the object you've selected in the previous step.
After adding the fields you want to include in the action, click Save.
The last step is to add the newly-created Global Action to the Publisher Layout. To do this, go to Publisher Layout, click Edit next to the publisher layout name.
Click on Mobile & lightning Actions, locate the name of the action you created and drag that icon to the second panel on the bottom labeled "Salesforce Mobile and Lightning Experience Actions".
Click Save in the upper left corner:
Test the new Global Action from the user interface to verify that it works as you expect:
